2. What Data We Collect
We collect the following personal data when you use the Minxe platform:
3. How We Use Your Data
We use your personal data for the following purposes:
- To match procurement requests with relevant suppliers in your service area
- To send job alert emails to suppliers when a matching request is submitted
- To send confirmation emails to contractors after a blast is executed
- To enable in-platform messaging between contractors and suppliers
- To maintain your account and provide access to your dashboard
- To improve the platform and analyse usage patterns
- To comply with legal obligations
4. Legal Basis for Processing
We process your personal data on the following legal bases under UK GDPR:
- Contract performance — processing necessary to provide the Minxe service you have signed up for
- Legitimate interests — improving the platform, preventing fraud, and maintaining security
- Consent — for marketing communications, where you have opted in
- Legal obligation — where we are required to process data by law
5. How We Share Your Data
We share your data only as necessary to operate the platform:
- Suppliers — when a contractor submits a procurement request, their email address and phone number are shared with matched suppliers for the purpose of submitting a quote. This is the core function of the service.
- Supabase — our database and authentication provider. Data is stored on servers within the EU/UK.
- Resend — our email delivery provider, used to send notifications and confirmations.
- We do not sell, rent, or trade your personal data to third parties for marketing purposes.
6. Data Security
We take data security seriously and implement the following measures to protect your information:
Encryption in transit
All data transmitted between your browser and our servers is encrypted using TLS/SSL.
Secure authentication
Passwords are hashed and never stored in plain text. Authentication is handled by Supabase Auth.
Access controls
Database access is restricted. Only authorised systems and personnel can access production data.
Audit logging
All significant platform actions are logged for security monitoring and incident response.
7. Data Retention
We retain your personal data for as long as your account is active or as needed to provide the service. If you close your account, we will delete or anonymise your personal data within 90 days, except where we are required to retain it by law (e.g. for financial records).
8. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
To exercise any of these rights, email us at privacy@minxe.co.uk. We will respond within 30 days.
9. Cookies
Minxe uses only essential cookies required for authentication and session management. We do not use advertising or tracking cookies. You can manage cookies through your browser settings.
10. Changes to This Policy
We may update this privacy policy from time to time. We will notify registered users of material changes by email. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.
11. Complaints
If you have concerns about how we handle your data, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk. We would, however, appreciate the chance to address your concerns directly first.
